The Fox Traveller

Welcome to The Fox Traveller. By booking any tour, hotel, ticket, or travel service through our company, you agree to the following Terms & Conditions. Kindly read them carefully before confirming your booking.

1. Identification Requirement

As per Government of India – Department of Tourism guidelines, all Indian and foreign nationals must carry a valid photo identification at hotel check-in.

Accepted ID Proof:

  • Passport
  • Aadhaar Card
  • Driving Licence
  • PAN Card

Failure to provide valid ID may result in denial of hotel check-in.

2. Passenger Information

Guests must provide accurate passenger details, including adults, children, and infants at the time of booking.

Vehicle and hotel arrangements will be made strictly based on the provided information.

Last-minute changes may result in additional charges or service denial.

3. Booking Confirmation

Booking will be confirmed only after receiving the required payment and written confirmation from the guest.

The company reserves the right to release bookings if payment is not received within the specified time.

4. Payment Terms

Payment terms are as follows:

Flight Ticket Booking
• 100% payment required in advance.

Tour Package Booking
• 50% payment at the time of booking
• Remaining payment before issuing vouchers and final itinerary.

Bookings made within 30 days of travel require full payment in advance.

Bookings made 4-5  days prior to travel also require 100% advance payment.

The Fox Traveller follows a strict no-credit policy.

5. Cancellation Policy

Cancellation charges will apply as per the following schedule:

45 days or more before travel → 10% cancellation charges
30 – 44 days before travel → 25% cancellation charges
15 – 29 days before travel → 50% cancellation charges
7 – 14 days before travel → 75% cancellation charges
0 – 7 days before travel → 100% cancellation charges

Airline tickets, visa fees, and other non-refundable services will be charged as per supplier policies.

6. Amendment Policy

Any amendment in the confirmed tour may be treated as a cancellation and rebooking.

Minor amendments may attract communication or service charges.

7. Refund Policy

The Fox Traveller acts only as a travel facilitator between guests and service providers.

Refunds will be processed only after receiving funds from airlines, hotels, or other suppliers.

The company will not be responsible for delays in refunds caused by third-party service providers.

No refund will be provided for:

  • Unused services
  • Unutilized meals
  • Complimentary services

8. Hotel Policies

Standard hotel policies apply:

Check-in time: 2:00 PM
Check-out time: 11:00 AM

Early check-in and late check-out are subject to availability.

Room heater charges are extra as per hotel policy.

Hotels in hill stations are categorized as Standard / Deluxe / Luxury / Premium, not by official star ratings.

9. Meals Policy

Meals included in the package start with Dinner on Day 1 and end with Breakfast on the last day, unless otherwise specified.

Buffet timings must be strictly followed.

Meals outside buffet timings will be chargeable.

Complimentary children are eligible only for buffet meals.

10. Vehicle Policy

Vehicle type will be provided based on the number of passengers confirmed during booking.

Standard vehicle service timing: 9:00 AM to 7:00 PM.

AC may not function in hilly areas due to safety reasons.

Vehicle and driver details will be shared approximately 5 hours before arrival.

In rare cases, vehicle or driver may change due to operational reasons.

11. Sightseeing & Itinerary

The itinerary is planned based on standard travel conditions.

Due to weather, road conditions, or operational reasons, sightseeing order may be modified without prior notice.

Some attractions may remain closed due to local holidays or government orders.

12. Special Area Permits

Certain destinations such as Rohtang Pass, Atal Tunnel, Nathula Pass, etc. require special permits.

These are not included in standard packages unless specifically mentioned.

Guests must arrange separate vehicles and permits if required.

13. Travel Documents

Guests are responsible for verifying all required travel documents before the journey, including:

  • Passport validity
  • Visa requirements
  • Travel tickets and permits

For international travel, the passport must be valid for at least 6 months from the date of travel.

Guests must check all documents at least 72 hours before departure.

The Fox Traveller will not be responsible for any loss, delay, or travel denial due to invalid, expired, or incorrect documents.

14. Visa Policy

Visa approval is solely at the discretion of the respective embassy or consulate.

The Fox Traveller only provides documentation assistance and application support.

The company is not responsible for visa rejection, delays, or additional document requirements requested by the embassy.

Visa fees, embassy charges, and service fees are strictly non-refundable, even in case of visa rejection.

Any financial loss due to visa rejection, including flight tickets, hotel bookings, or tour packages, will be borne by the guest.

15. Travel Insurance

Guests are strongly advised to purchase travel insurance for international travel.

The company will not be responsible for medical emergencies, trip cancellations, or baggage loss.

16. Personal Belongings

Guests are responsible for their personal belongings, luggage, and valuables during the journey.

The Fox Traveller will not be liable for loss, theft, or damage.

17. Guest Conduct

Guests must maintain proper behavior and discipline during the tour.

Misbehavior with drivers, hotel staff, or fellow travelers may result in termination of services without refund.

18. Force Majeure

The company will not be responsible for delays, cancellations, or changes caused by circumstances beyond control such as:

    • Natural disasters
    • Weather conditions
    • Political unrest
    • Strikes
    • Government restrictions
    • Technical issues

Any additional expenses due to such situations will be borne by the guest.

19. Liability Disclaimer

The Fox Traveller shall not be responsible for any accident, injury, loss, or damage during travel.

All travel arrangements are undertaken at the traveler’s own risk.

 

20. Acceptance

By confirming the booking and making payment, the guest acknowledges that they have read, understood, and agreed to all Terms & Conditions mentioned above.
